Bulk Reporting

WHAT IS BULK REPORTING?

Bulk reporting is a privileged feature extended to specific attorneys, aimed at streamlining the process of submitting reports for a significant number of hearings concurrently, thus reducing time investment.

AFTER THE FEATURE IS ADDED TO MY ACCOUNT, WHAT ACTIONS SHOULD I FOLLOW?



 1. After logging into the website begin by clicking the FILE REPORT button on the homepage.





2. In the top section of the Reports page, you will see those hearings that have reports due for submission. 

i.   Under the "Select a Service" drop-down menu, choose one service type to submit a bulk report for all selected hearings of that type. 

ii.  You may only submit a bulk report on those hearings that have the same Service Type as different service types will generate different questions in the reports. 

iii. Once you have selected your service type, check off all the hearings you wish to include in the bulk report from the updated list and then click the yellow Bulk Reporting button to begin the report.





3. Once you are in the report you will see all the hearing you previously selected along the top and the hearing report questions along the left side (including the standard report sections Role Call, Outcome, Next Steps, Discussion, etc.). 

i.  The second column on the page ("Response") is where you will populate the response you wish to apply to hearing in bulk.  You can also uncheck the box for "Report On Hearing" if that particular hearing will have different entries than others in that section of the report.

  • Once unchecked, you can use the drop-downs to select the individualized responses for that single hearing.  All parent and child questions (grayed-out questions) for the unchecked hearing will activate and respond independently of the other hearings being bulk reported on.

ii.  At the top of each section, as you travel down the reports, you will also see a checkbox for "All Hearings". 

  • By checking this box, your answers will be transferred from the Response column to all other hearings when you click the yellow Enter button. 

  • You can also uncheck the box for "Report on Hearing" if that particular hearing will have different entries than others in that section of the report. 

  • Be sure to also take note of all the fields with a Red Dot on the selector. 

These are required questions and must be answered to submit your report successfully.





4. As you answer questions, some answers will trigger child questions that will be required to continue. 

i.  In this example answering "Yes" to the question "Was it an Adverse ruling?" caused required the child question "Adverse Ruling Category" to become active and no longer grayed out.



5.  As you approach the end of the report you will come to the Next Steps section of the report. 

i.   This is where you will indicate any and all actions that the client will need to take and the timeframe in which they need to accomplish those actions, as well as the Type of Next Hearing if known. 

ii.  Upon selecting "Yes" on the question "Are there any actions our client needs to take?" and clicking the yellow Enter button, you will be taken to a popup to submit details on the actions required.  To add an action item to each hearing, click the blue "+ Add Another Action" text which will create a question flow that will take you through the needed action questions. 

iii.  Once you have completed all action items for all of the hearings in your bulk report click the yellow "Save and Close Next Steps" button at the bottom to return to the main report page. 

  • It is absolutely imperative to make use of this section rather than including this information in a Narrative, which we will cover next, as this process ensures that our clients get the best possible results and enables them to control their workflow effectively.





6. The final section on the bulk reporting page is the Discussion section. 

i.   For each Narrative, you will want to be sure to include hearing-specific details regarding how that hearing progressed. 

ii.  These should be filled out individually except on the occasion that a large group of hearings had the same process flow and result. 

iii.  After marking if the client's desired outcome was obtained, also be sure to explain in as much detail as possible the reasons for that outcome in the "Please Explain" field.  Beneath this area, you can also submit any hearing-specific expenses. 

  • Please be sure to attach receipts for any claimed expenses to ensure prompt report processing. (We will outline how to attach documents to the bulk reports at the end of this manual.





7. Once you have filled in all required fields and any additional information that is necessary, you MUST be sure to use the blue "Preview Reports" button at the bottom to view a PDF of your completed reports to check for accuracy. 

i.  You must check each hearing to ensure that data has been added correctly. 

ii.  This feature is a privilege and has room for error, so be extremely thorough in your review to minimize any chance of mistakes and ensure client satisfaction.  Once you have confirmed all information is correct, click the orange "Submit" button to complete the bulk reporting submission. 

iii.  If you have missed any required fields, the report will not submit and will reload with the required fields highlighted to be updated before resubmitting.





8. Finally, once your bulk report has been successfully submitted.

i.  You will receive an email with links that will take you to each hearing to attach your necessary documents. 

ii.  Upon clicking the link you will be taken to the attachments page for that individual hearing, where you will attach your related documents as usual.



*****Keep in mind that this feature is a privilege! Make sure to meticulously review all reports for accuracy. Any inaccuracies found in the reports may result in the removal of this feature from your account.*****
