EDI
Electronic Data Interchange (EDI) is a computer-to-computer exchange of business data and documents in a standard format between business partners. Docketly allows our customers to use the power of EDI to reduce the time-consuming task and error risk of manual data entry for hearing requests and results.
At Docketly, this interchange happens via Comma-Separated Values (CSV) files. Most case management systems offer import and export options for this format. You can also use an application like Microsoft Excel to clean-up the data before sending it on.
Tab-delimited & pipe-delimited report results are available upon request.
ENHANCED CSV
Enhanced CSV is taking standard EDI set up to the next level! Standard EDI setup focuses on hearing creation and hearing report exports. With all the additional activities on the journey of each hearing from Client, to Docketly, to Attorney, and back, Enhanced CSV gives us an opportunity to pass data files with any action item that lives in the Docketly!
This feature is primarily useful when clients prefer to work directly out of their case management software (ie: JST, Cogent, etc). This will bridge the gap between systems when we do not have a full integration built (as we do with Q-Law/Q-LawE).
Docketly has the ability to build a data template for any action, ie: Hearing covered, hearing updated, tickets, and so much more! When this setting is selected, the data will update every 15 minutes . Clients could then import the data (automated or manual) to their system and build action items/tasks associated with each update. Let us know what actions you need a data template for!
Transfer
The best way to transfer files to Docketly is via SFTP. We do offer some other options you may use for testing or in special situations.
Secure File Transfer Protocol (SFTP)
Both the import and the export mechanisms utilize a Secure File Transport Protocol (SFTP) mechanism to send the data to Docketly. Contact us to get provisioned for this service if you are interested. Once we provision you, you will receive a hostname, username, and password that you can use to send and receive data from us. Upon logging in to this new account via SFTP, you will find an "incoming" and "outgoing" directory. Those names are relative to Docketly. So you will put your hearing requests into the "incoming" directory. And you will download all reports from the "outgoing" folder.
Once provisioned, you can retrieve your SFTP credential from the credentials tab at https://docketly.com/edi/setup.
Web Upload
If you prefer to visit the website and upload your files, that is available as well. Once you are set up for transfer, you can utilize the "Tasks" button at the top of all your webpage. There is a menu option there for "Batch Upload". Select that and the next page will give you a file upload box. The file will be checked for basic information before submitting it. This can be helpful in your first few submissions to check the format. Further checking is done once the file is processed at the top of the hour.
While not preferred because of reliability, email can also be used to send files to Docketly. Using the address below, you can send an email that will be read by our system. Any files attached will be saved into your SFTP incoming folder.
As a security precaution, you need to enable our system to trust email sent by you. You will go to your Profile (https://docketly.com/profile) and turn on "Allow Email In".
Housekeeping
Anything in the folders (incoming & outgoing) is deleted after 14 days no matter what to keep things tidy.
Incoming – Our system renames the file from xyz.csv to xyz.csv.1234556789~. The numbers are a Unix timestamp. The "~" means we processed successfully. Those are mostly for debugging so if you tell us something went wrong, we can go peek at your file and see what you sent.
Outgoing – Although we delete these files after 14 days, we encourage your team to delete them on your end as you read them to keep track of what you have already reviewed.
